Hi everyone! I hope your weekend is getting off to a good start.
So for those who have been or are managers with a secretary, have you ever needed to train one who has already been working in that position for several years? My boss told me today that one of mine isn't cutting it, and he's known it for years. He says I need to put her on a plan of assistance. This one is the fiscal secretary. The money isn't quite lining up correctly according to the new business manager. She's quite disorganized in general. The other problem is she crosses the line between talking to students and trying to mother them. She was on a quasi-POA a few years ago. She did improve then, but she started unraveling again last school year.
Thoughts about how to improve her and/or move her out?
(I'm good at POAs for teachers. I've not done one for a non-teacher employee.)

Put it on the new business manager saying he has a different vision than the last one and it will require a new focus. Use that framework for the changes required in her. That allows you to give a reason why the same old is not acceptable anymore and start the POA process.

It always amazes me how many managers and business owners don't have a solid grasp of what is coming in and going out. (Not saying this is you, just a general observation) As for her performance, I don't understand why your boss would know this for years and not address it or how the secretary was able to hide this from you (am I understanding correctly that you're her supervisor?) I would guess if you haven't noticed she was lacking, then you will probably need someone who knows her job better to assist you.

If you are a school system, you have public auditors. Blame it on them. Our bookkeepers do. We call them by a really mean nickname, but they have to do their job.
But is this the only secretarial post available for her? We have multiple secretaries, and they rotate around until they finally get the job they really love. One where she deals more with the public (Front Desk) might be more appropriate. So might Attendance where she has to call to ask why Johnny is sick so often? "Mothering the students" is necessarily a bad thing in the school environment.
Just something to think about.
